SAVING YOUR DOCUMENTS FOR THE WEB
The first step in creating your ePortfolio, also called a
digital portfolio, is to make sure that you have saved all of your documents in
the appropriate formats.
If
you are using a text document it must be saved as (.htm), (.html), or
(.pdf). To save a document in html or
htm format, you open the document, select file, save as. A window will open that looks like the one
below. Select the destination in the save
in box where you want your file to be saved.
This is usually your disk. Click
the change title button to the right of page title. This is the title that your document will
have when viewed on the internet. Next,
click in the file name box. Be sure to
keep the file names simple, since you will need to retype them to make them a
part of your ePortfolio. Do not use
spaces or symbols in your file names. In
the save as box, select web page from the save as type box. Click the save button.

Programs
other than Microsoft Word® will save your documents following a
similar process. Please note that
PowerPoint® presentations are also turned into (.htm) or (.html)
documents by using the same basic process.
One important note: Documents
that contain images will have two folders when saved as web pages. They will look like this:

You need to upload both of
these folders or your document will not function properly. Later when we talk about registering your
artifacts, you will only need to register the file that ends with (.htm) or (.html). The
other file, the one that looks like a file folder will not need to be
registered. I will mention this again in
the “registering your document in ePortfolio” section of this tutorial. To save documents as pdf files, view the help
files found in the Adobe Acrobat® program. After using the program of your choice, save
audio files as (.wav) and pictures as [(.jpg or .gif)].
For
movies, I suggest using I-Movie®.
This program is found on most Macintosh® computers on
campus. This will save your movies in
(.mov) format. You can also save your
files in Windows Media Player®.

UPLOADING YOUR DOCUMENTS TO THE SUU SERVER
Now
that you have saved your documents in the appropriate format you are ready to
move them from your disk to your personal spot on the SUU server. Basically this is a disk set aside for you on
the schools internet computers. This can
be done two ways depending on the computer and operating system you are
using. If you are on a Macintosh®

Now that you have become a
pro at this by uploading all of your documents to the SUU server, you are ready
to start using ePortofolio.
REGISTERING YOUR DOCUMENT IN EPORTFOLIO
The first step in working with ePortfolio is to get to
their site. You can either type in the
address below, or just click on it. http://dagwood.dgrc.crc.ca/eportfolio/suulogin.html Ok, you should be seeing a screen that looks
like this:

In the user ID field, type in the user ID that you selected
when you registered for your account. It
is generally the same ID that you log into the SUU computers with. In the Password field, you will type in the
password that you selected when you registered for your account. It is generally your birthday in a mm/dd/yy
format. For example, I would type in
062503 if I was born
If
this doesn’t work, you probably don’t have an account. You will need to click on this link https://secure.suu.edu/ed/efolio.html,
and follow the instructions you find there to get an account. Once you have completed your account request,
you should be able to access your ePortfolio in one to two days.
You
should now see a screen that looks somewhat like this:

In the name box, type a name for your portfolio. Once you have done this, click the “create a
new portfolio” button. You will see a
line of text and buttons appear beneath the words existing portfolios. You will not see the blue text between the
buttons that you see below until later.

Next you will click on the edit button to the right of the
portfolio you have just created. You can
look at the illustration below for help.

This will bring up a screen that looks somewhat like this:

Please notice the buttons at
the top of the window. Click on the
Artifact Library button. If necessary,
scroll down until you see this:

The artifact library is the
place where you will tell the ePortfolio where to find your documents. Please note that ePortfolio calls your
documents “artifacts”. I will hereafter
refer to your documents as artifacts.
Please also note that registering an artifact is different than
uploading it to the internet computers here at SUU. Next, click on the following link: http://dagwood.dgrc.crc.ca/eportfolio/help/fileregistration.html,
and follow the instructions there to register your artifacts. Please remember that uploaded documents
containing pictures often have two files.
Once again, you only need to register the file that ends with (.htm) or (.html). The
other file, the one that looks like a file folder will not need to be
registered.
While you are registering your artifacts, you may also
notice this information beneath the area you are currently using to register
your artifacts:

You will use this method of
registering an artifact instead of the above method, only when your artifact is
already on the internet somewhere. In
this case, you will type the (www.), or (http://) address of your artifact into
the box titled URL. The remainder of the boxes in the illustration above function exactly
like the boxes you normally use to register your artifacts.
As you register your artifacts, you will notice that they
are appearing at the top of the web page you are working in. You can see an example of this in the
following illustration:

Each artifact you add makes
the list grow longer. I would suggest
that you check each artifact after you have registered it, just to make sure it
is working properly. You can do this by
clicking on the blue underlined text that contains the name of your file. If the artifact is working properly, a new
window will open and the artifact will appear.
If this does not happen, click the check box to the right of the delete
button and then press the delete button.
This will delete the artifact from your list. The artifact will still remain on the SUU
computer where you uploaded it. Then try
and register the artifact again. Once
you have done this check the artifact to make sure it is working. If it still does not work, then you will need
to check your original document and re-upload it to the SUU computer before
trying to register it again.
Once you have completed registering all of your artifacts,
scroll down to the bottom of the page and click the button labeled
“return”. This will bring you back to
the screen that looks like this:

Close your web browser. You have now successfully uploaded and
registered your artifacts. Congratulations!
