Policies & Procedures

Guidelines for Use of Reserved Facilities

The following guidelines provide information regarding the appropriate use of the Center. Failure to comply with any Building or University policy including damage to the Center property or conducting activities that infringe on the rights of others may result in cancellation of the event, loss of rental privileges, additional charges, and/or referral to other campus agencies for appropriate action. Campus Security or Fire Safety officials when deemed necessary may also cancel or close an event.

The Student Activities Office reserves the right to cancel any function before, or during the activity, if the safety and security of the building and its occupants, are threatened. For all events, the sponsoring groups will be held responsible for the conduct of the people attending the activity. Staff on duty will cooperate with the designated person in seeking responsible action, but retain the ultimate authority if the activities are not being controlled according to the standards of the University and the Sharwan Smith Center's building policies. The individual who makes the reservation should make contact with the Center staff prior to beginning the event, and monitor the event throughout it's duration.

To insure that a sponsoring organization is not unfairly held accountable for the condition of a reserved space, any irregularity found upon entering the room must be reported to the Building Operations Coordinator or the SSC Student Activities Office. The door should be locked at the conclusion of the event, or the Center staff should be notified that the group is finished with the room.

When scheduling a room or a table in the Sharwan Smith Center; to be considered as a department on the SUU campus, the event or activity must be directly associated with the sponsoring department. Otherwise, applicable fees may be assessed.

In accordance with the purchasing policy, credit card companies cannot schedule space in the Sharwan Smith Center, with the exception of the Alumni Credit Card Company sponsored through the SUU Alumni Office.

Vending Policy

In accordance with building policy, vendors are allowed twice a year (first week of school Fall and Spring semesters) to participate in a Vendor Fair. The campus-wide purchasing policy is adopted and no vendor shall conflict with current services offered on campus (i.e. SUU Bookstore products; SUU Food Services; MBNA SUU Alumni credit cards; and SUU Fitness Center). Vendors are responsible for collecting current sales tax rates and must have proof of a business license to sell products not offered by the University. Exceptions to sales during special events (e.g. Reading Conference) must be negotiated with the SUU Bookstore Manager and/or SUU Food Services as it may apply.
