SUU Website Privacy Notice
Southern Utah University (SUU) cares about your privacy and is committed to protecting it. This document explains how SUU gathers, uses, and secures your data. SUU will not sell your personal information. This Website Privacy Notice is provided by SUU in compliance with Utah's Government Data Privacy Act and the Family Educational Rights and Privacy Act of 1974 ( FERPA ).
Scope
This Website Privacy Notice applies to all SUU websites, affiliated websites, and domains except where a department has supplemented or superseded it.
Information Collected
SUU uses programs to collect data about traffic to its websites. SUU does not attempt to personally identify visitors, instead SUU collects data to analyze in aggregate to determine trends and improve its sites. Here are some examples of the types of data SUU routinely collects:
- IP address
- Browser type
- Device type
- Referring web page
- Date
- Time
- Duration of visit
- Cookies used to preserve data
- Internal search terms
SUU collects personally identifiable information (PII) whenever you voluntarily provide it on a SUU or affiliated website. PII is information that can uniquely identify you. This information may include name, email, physical address, mailing address, telephone number, date of birth, driver's license number, employee id, credit card number, and social security number among others.
Use of Information
When information is voluntarily provided to SUU, you acknowledge that SUU may use this data for the purpose it was provided and where permitted by federal or state law. Such purposes include but are not limited to:
- Marketing
- Providing requested goods or services
- Responding to inquiries
- Processing applications for admissions or employment
- Financial aid
- Improving online content
- Communication with students and employees
- Emergency situations
SUU does not and will not sell your personal information.
Record Series/Data Retention
A "Record series" means a group of records that may be treated as a unit for purposes of designation, description, management, or disposition. Each Record series contains the retention schedule and privacy annotation. SUU retains your information for as long as needed to fulfill legal, business, and archival purposes. Some information may be retained indefinitely. The Utah Archives and Records Service, Department of Administrative Services, issues a general record retention schedule for all state agencies. Web Tracking Technologies
- Cookies - A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. Cookies enable the website to remember your actions and preferences (such as login, language, display preferences). For instance, the mySUU portal uses cookies (active only during your session) to remember password and menu settings. If you prefer not to receive cookies, you can turn them off in your browser or set your browser to ask you before accepting new cookies. Cookie information is not used to identify you personally.
- Third-party Trackers - These are technologies used by external entities (not the website a user is directly visiting) to collect data about user behavior across different websites and online services. These trackers are primarily used for advertising, analytics, and user profiling. SUU is aware of the following third-party web trackers on its website:
- EAB (used by Admissions office)
- Facebook/Meta Pixel (used by Marketing Communication, Grad/Online, International)
- Google Analytics
- Google Ads Conversion Linker
- Siteimprove (web governance tool for accessibility)
- Slate Ping
- MaxConnect (Marketing Communication)
Keeping Your Information Secure
SUU has put in place appropriate security measures to protect your data. These measures include physical, electronic, and managerial procedures to safeguard and help prevent unauthorized access. SUU does not intentionally release personal information gleaned from these programs to others, except as required by law.
Security Precautions You Should Take
Although SUU makes every effort to secure its networks, SUU cannot guarantee privacy of online communications. Use discretion in providing information in online classes, chatrooms, or other open forums on the Web. If you use mySUU to access personal records, be sure to "lock up" when you leave by exiting the site and closing your browser. Otherwise, the next person to use the computer may see your information.
Alternate Ways to Submit Information
You have a choice about whether to provide personal information online. For other options, contact the department associated with the form being completed to learn how you can provide information by phone, mail, fax or in person.
Third Party Websites
SUU's websites contain links to other independently managed sites that are associated with SUU (such as bard.org and suutbirds.com). Some may use information for purposes other than stated above; be sure to read their separate privacy statements. SUU web pages also contain links to third-party websites not owned or managed by SUU; these sites may have their own privacy statement -- or none at all. We urge you to exercise caution when providing personal data to any website. Check their policies and contact them if you have questions.
Protecting Children's Privacy
SUU encourages parents to explore its websites with their children. If SUU learns that a child under age 13 has provided personally identifiable information, SUU will promptly remove it from its data collection. - In Person - Visit the Registrar's Office , the Alumni Office , or Human Resources
At-Risk Employees
If you are considered an "At-Risk" employee and would like to request that your data be considered private, please contact SUU's privacy office at privacy@suu.edu . Generally, "At-Risk" employees include:
- Individuals who are public-facing or work in law enforcement, government, or other positions where public exposure could lead to physical or reputational harm.
- Those under protective orders or who have experienced stalking, harassment, or threats, making the exposure of their personal information more dangerous.
