Policy 6.1 Transition

Faculty

  1. AIM (Alignment Integration Meeting): No AIM will be required between a faculty member and the Department Chair, Associate Chair, or Program Director. However, an AIM can be scheduled and informally documented if the faculty member or Department Administrator feels it necessary or desired. If the faculty member had developed a plan according to the previous policy, this should be used in the meeting and help document the faculty member's status.
  2. Mentorship Changes: Requirements for non-tenured or non-rank-advanced NTT faculty members.
    • Faculty (TT) who have not completed their midpoint review will continue with a mentor but are only required to have one mentor. Notify the Department Chair and the mentor you wish to maintain. Faculty may request a different mentor if desired although there is no guarantee that the request will be fulfilled based on mentor availability and department needs.
    • Faculty (NTT) who are in their first three years of the promotion process will continue with a mentor but are only required to have one mentor. Notify the Department Chair and the mentor your wish to maintain. Faculty may request a different mentor if desired although there is no guarantee that the request will be fulfilled based on mentor availability and department needs.
    • Faculty who have successfully completed their midpoint review (TT), have completed their first three years of the Promotion and Tenure process (NTT), or who are not on a development plan are no longer required to maintain a mentor unless otherwise specified by Policy 6.1.
  3. Evaluation Criteria to Use for FEC Report: If preparing to write annual reports, midpoint reviews, application for Tenure or Rank Advancement, or Five-Year Reviews for Fall of 2024, faculty members will use, as guidance, their current Departmental Evaluation Criteria as published on this website.

Department

  1. Notify faculty of the transition process and any responsibilities faculty may have during the transition process.
  2. Begin the process of creating or updating Departmental Evaluation Criteria (DEC) based on the updated Policy 6.1. DEC must be created or updated to align with the updated Policy 6.1 Note that the policy requires an approval process of the College/School Dean and the Provost in the beginning months of the Fall 2023 semester. Thus, departments should begin the process as soon as possible.
  3. Select a committee chair who is, whenever possible, a tenured faculty member. At least two additional members of the faculty must serve on the DEC Committee. Selection should be done according to departmental guidelines for faculty committee appointments or can be determined by a vote of the department faculty.

Mentors

  1. Notify Department Chair of availability and willingness to mentor. Mentorship is a high value service opportunity with qualified and willing faculty. All available faculty members are encouraged to volunteer.
  2. Notify the Department Chair if current mentor/mentee relationship should change.
  3. Discuss next year's AIM expectations.
  4. Once mentee(s) are determined, schedule Fall 2023 mentor meeting with mentees.
  5. Review current mentee progress toward advancement and clarify next milestone.
  6. Commit to attend Mentor Training, provided by the respective College/School in the opening weeks of Fall 2023.

DEC (Department Evaluation Criteria) Committee

  1. Once the committee is organized, hold at least one meeting with all department faculty to gather input and direction on the creation of, or any revisions needed, to the DEC before May 15, 2023 (end of contract).
  2. During Summer 2023, the Head of the DEC Committee prepares a draft or edits the existing DEC based on the most recent draft of Policy 6.1. The draft must be sent to department faculty by August 16, 2023 (first day of contract).

Department Chairs

  1. By Friday, May 5, 2023, organize the DEC Committee according to departmental guidelines for faculty committee appointments consisting of at least three department faculty members, including a committee chair who is, whenever possible, a tenured faculty member.
  2. Identify and create a list of qualified and available faculty members willing to serve as mentors.
    • Notify members of the required training during the opening weeks of Fall 2023.
  3. Identify and list faculty who will need a mentor.
  4. Any known new faculty hires for the 2023-2024 academic year need to be assigned a mentor.
  5. Ensure all faculty who are required, as dictated in Policy 6.1, have a mentor.
  6. Create timeline that identifies duration of mentoring for each mentor.
  7. If the department has more mentors willing to serve than needed, the names of those willing to serve as mentors in other departments within the College/School can be forwarded to the Dean.
  8. The Department Chair organizes an election for a Department P&T Committee in accordance with Policy 6.1 and provides the committee names to their respective Dean by May 5, 2023.
    • Notify all Department P&T Committee members of required Evaluator Training during the opening week of Fall 2023.

College/School

Deans

  1. Begin developing the Mentor Training to have it ready for opening week for Fall 2023.
  2. Organize an election for the College/School P&T Committee according to Policy 6.1 for those who have completed terms. (It is recommended that Department P&T Committees are finalized before the College/School Committee is determined.) Due date: May 15, 2023. 
    • Notify ALL College/School P&T Committee members of required Evaluator Training during the opening week of Fall 2023.

Provost's Office

  1. The Provost's Office needs to begin developing the Promotion and Tenure Evaluator Training and have it ready for opening Week of Fall 2023.
  2. The Provost's Office needs to begin developing the Faculty Dashboard Training and have it ready for opening week of Fall 2023, including both face-to-face and video options.

Faculty

  1. AIM (Alignment Integration Meeting): The AIM is required for new hires this semester. No AIM will be required for other faculty; however, one can be scheduled and informally documented if the faculty member of Department Chair feels it necessary or desired. If the faculty member had developed a plan according to the previous policy, this could be used in the meeting. The plan could help document the faculty member's status. This meeting should be documented electronically in the Faculty Dashboard.
  2. Mentorship: Follow guidance regarding mentorship in the updated Policy 6.1. If faculty requiring mentorship per updated Policy 6.1 do not have an assigned mentor, contact the Department Chair.
  3. Evaluation Criteria: All faculty writing and submitting annual reports, midpoint reviews, application for Tenure or Rank Advancement, or Five-Year Reviews for Fall 2024 will use, as guidance, the Departmental Evaluation Criteria created under previous Policy 6.1 -- not the updated Policy 6.1 criteria currently being voted on during Spring 2023.

Department

DEC Committee

  1. Collect faculty feedback regarding the DEC draft submitted to faculty by August 16, 2023 (first day of contracts).
  2. Receive faculty approval of a final draft and forward to the Department Chair by September 15, 2023. The DEC Committee may consult with the University Office of Legal Affairs as needed during the collection of feedback and approval process.

Mentors

  1. Complete the Mentor Training proved by the College/School Dean.
  2. Mentors should meet with any new faculty member to assist them in preparation and scheduling their AIM with the Department Chair.
  3. If mentor assignments have changed from Spring semester, mentors should contact their new mentees for basic introductions and to review any meetings that must be conducted.
  4. Schedule meeting with respective mentee(s) to assist in preparation for AIM should mentee choose to have an AIM, as it is not required at this point.
  5. Mentors note that meeting occurred in Faculty Dashboard.

Department P&T Committee

  1. Complete the Evaluator Training provided by the Provost's Office during opening week of Fall 2023.
  2. Use the Departmental Evaluation Criteria, created under previous Policy 6.1, for evaluation of all faculty submitting annual reports, midpoint reviews, application for Tenure or Rank Advancement, or Five-Year Reviews for Fall 2024.

Department Chairs

  1. Review and approve DEC and forward to Dean by September 29, 2023.
    • Note that at any level of review, the reviewer can return the DEC to the previous approver for editing. In cases where a consensus cannot be reached at all levels for the completion of a DEC, the matter will be resolved by a committee composed of the Provost, Dean, Department Chair, and the DEC Committee Chair.
  2. AIM required for all new hires. Department Chair will schedule this AIM for the new faculty hires.
  3. Any new hires over the summer will need to be assigned a mentors per Policy 6.1.
  4. Department Chair assigns mentors to other faculty members per Policy 6.1. If there are not enough volunteer mentors, an exception to the policy can be made. The suggested exception is (a) Go outside the department for additional mentors; (b) Go outside the college/school for additional mentors; or (c) If there are still not enough volunteer mentors, allow the mentors to be assigned to three faculty instead of limiting the number to just two (per Policy 6.1).

College/School

Deans

  1. Provide Mentor Training for opening week of Fall 2023.
  2. Ensure all evaluators at the department, college/school, and University levels from their respective College/School complete the Evaluator Training provided by the Provost's Office during opening week of Fall 2023.
  3. Review and approve DEC and forward to the Provost by October 13, 2023. The Dean may consult the University Office of Legal Affairs as needed. See guidance for Department Chair for details regarding edits and dispute resolution.

College/School Committee

  1. Complete the Evaluator Training provided by the Provost's Office during opening week of Fall 2023.

Provost's Office

  1. Provide Evaluator Training for opening week of Fall 2023.
  2. Review and approve DEC by October 28, 2023. The Provost may consult the University Office of Legal Affairs as needed. See guidance for Department Chair for details regarding edits and dispute resolution.

Faculty

  1. Schedule AIM with the Department Chair, Associate Chair, or Program Director as determined by your department. The AIM is required this semester and hereafter for all faculty according to the guidelines in Policy 6.1 and it must occur between January 2024 and April 2024. The AIM should utilize the DEC as its foundation to ensure the Department Chair, Associate Chair, or Program Director and faculty are aligned with the department and University criteria. Clear documentation should be completed electronically in the Faculty Dashboard.

Department Chairs

  1. Conduct an AIM with all faculty as part of the transition to the updated Policy 6.1. Clear documentation should be completed electronically in the Faculty Dashboard following guidance in Policy 6.1.

Faculty

  1. Alignment Integration Meeting (AIM): From this point forward, the AIM is required for new hires in the Fall and in the Spring for all other faculty. This meeting should be documented electronically in the Faculty Dashboard.
  2. Mentorship: Mentors and mentees follow current Policy 6.1 from this point forward.
  3. Evaluation Criteria: All faculty writing and submitting annual reports, midpoint reviews, application for Tenure or Rank Advancement, or Five-Year Reviews for Fall 2024 can choose to use, as guidance, the Departmental Evaluation Criteria (DEC) created under the previous Policy 6.1 or the new DEC created and approved the 2023-2024 academic year under the updated Policy 6.1.
  4. Training: Mentors and evaluators participate in appropriate training offered during the opening week of Fall semesters from this point forward.

Department P&T Committee

  1. Use either, as determined by each faculty member, the Department Evaluation Criteria (DEC) created under previous Policy 6.1 or the new DEC created and approved the 2023-2024 academic year under the updated Policy 6.1 for evaluation of all faculty submitting annual reports, midpoint reviews, application for Tenure or Rank Advancement, or Five-Year Reviews for Fall 2024.

Faculty

  1. Evaluation Criteria: If writing and submitting an annual report or midpoint review, faculty will use the new Department Evaluation Criteria (DEC) created and approved in the 2023-2024 academic year under the updated Policy 6.1. If applying for tenure or rank advancement or submitting a five-year review in Fall 2025, the faculty member can choose to use, as guidance, the DEC created under previous Policy 6.1 or the new DEC created and approved in the 2023-2024 academic year under the updated Policy 6.1.

Department P&T Committee

  1. Use the new Department Evaluation Criteria (DEC) created and approved in the 2023-2024 academic year under the updated Policy 6.1 when evaluating faculty who write and submit an annual report or midpoint review. Use either, as determined by each faculty member, the DEC created under previous Policy 6.1 or the new DEC created and approved in the 2023-2024 academic year under the updated Policy 6.1 for evaluation of all faculty submitting applications for Tenure or Rank Advancement or Five-Year Reviews for Fall 2025.

Faculty
